Functie

In your role as International Mobility Specialist we will give you the opportunity to be part of the Headquarter International Mobility team and act as a subject matter expert towards our global assignee population and internal stakeholders and vendors and act as a dedicated assignment coordinator for your scope of assignees.

You will report to the Manager International Mobility. Your role is instrumental in the continued service delivery to our assignees and stakeholders and development and professionalization of the International Mobility function - in line with organizational needs and external best practice.

As an international Mobility Specialist, you will thrive in the complex matter of delivering a great assignee experience, global mobility governance, compliance, practices and standards. Furthermore, you firmly believe in teamwork, working cross-functionally with internal stakeholders to ensure a smooth execution of our mobility program.

You will work closely with our external global tax, immigration and relocation providers to ensure the execution of our global mobility program.

TASKS

Responsible for the end-to-end assignment lifecycle processes of our assignees, which includes:

  • Assignment coordination for Vanderlande’s international assignments (Short Term, Long Term and Commuters)
  • Preparation of assignment documentation (cost estimates, compensation statements and assignment letters) using AssignmentPro
  • Coordinating role towards employee, HR contacts, managers, payroll and external providers
  • Coordinates global immigration
  • Process requests for advice on global immigration
  • Providing advice if knowledge is present within International Mobility and otherwise engages external service provider for advice and/or application assistance
  • Acts as subject matter expert towards internal stakeholders on IM policies and processes, compliance and external services
  • Manages International Mobility (sub-) projects (examples: IM process and policy improvements, communication plan for international employee insurances, assignment management software training and administration)

CONTACTS

  • Meetings (briefings) with employees and HR Officer/Manager during the assignment process
  • Meetings (regular update meetings and ad hoc meetings) with direct managers of assignees
  • Meetings (regular update meetings) with Payroll, ad hoc meetings with other shared service teams
  • Regular contact with HR Officers regarding international assignments
  • Regular contact with external providers (contact person for operational staff) regarding assignments: Vendors for tax and immigration, relocation, housing and settling-in, educational advice, expat health insurance and for partner support

RESPONSIBILITY LEVEL

  • Case manager / assignment coordinator
  • Solves majority of questions and complaints (employees, HR, project / business manager) independently, limits the number of escalations to IM manager
  • Sparring partner at operational level
  • Coordinates and manages IM program content topics and projects
  • Steers assignment initiators towards the correct process
  • Actively steers towards policy adherence; effectively handles requests for exceptions, only escalating to IM manager if necessary
  • Delivers input for operational process improvement and policy improvement: identifies areas for improvement and comes with proposals for actions or projects

This role requires strong knowledge of, and experience in, international mobility processes and programs. For this role a basic understanding of international tax, social security and immigration is a must. Its diversity asks for flexibility and adaptability. PROFILE

  • Bachelor level or higher
  • Knowledge:
    • Specialist knowledge of International Mobility policies and end-to-end assignment processes
    • International labor law (basic)
    • Global immigration
    • International tax (determine tax position, tax liability, understanding of tax filing process and understanding of the principles of tax equalization and tax protection, country specific tax rulings)
    • International social security (determine social security position, identify when alternative arrangements need to be made, knowledge of social security treaties)
    • Ability to use AssignmentPro as assignment management system
    • Strong communications skills with the ability to communicate effectively with international colleagues at all levels including the People service organisation, HR business partners, Recruitment, Payroll as well as external partners and vendors
