The Forwarding Officer is responsible for the administrative handling of all shipments and operations within the Department of Physical Distribution. From normal and big projects to export shipments with a Letter of Credit. Also knowledge is required to execute the more demanding transport projects or projects with complex “Cross Trade transports”. Shipments can be done using varying modalities such as road, sea and airfreight. The tasks, which are executed independently, are executed according own set priorities and consist of the coordination and on-time transport of the goods to our customers. The deadlines with regards to deliver on-time to the customer as well as the production of the original export papers to be send to the bank for payment are taken into consideration. The Forwarding Officer knows the consequences of errors in export documents and signals on time disturbances and deviations and anticipates on them. The Forwarding Officer executes without errors the administrative tasks of the customs formalities for in- and export shipments. The Forwarding Officer knows the structure and content of the manuals for goods in- and export to be able to execute independently the reporting and informs the organization accordingly. Priorities for shipments are aligned with the stakeholders. The Forwarding Officer is able to advise other colleagues on custom procedures in order to do the reporting on time and correct.

The Forwarding Officer reports to the TeamLeader Forwarding. 


  • On-time handover of the export documents to the bank and the customer.
  • Determines and orders the correct needed transport modality.
  • Follows-up shipments and informs project teams and the site manager on the status.
  • Cross trades
  • Advises the internal organization, informs and convinces them with regards to the Customs regulation and Letter of Credits.
  • Sets-up and maintains the supplier declarations, in consult with the Engineer, to determine the source of origin of our final product.
  • Applies and extends our custom permits
  • Responsible for the correct lay-out and final check of the export documents.
  • Details and translates the Letter of Credits to make third parties able to create the correct export documents.
  • Maintains and executes various department reports.
  • Solves disturbances in a way that the work at hand and the output are not impacted.
  • Support and advise colleagues to work as effective and efficient as possible.
  • Checks with internal and external parties when there are disturbances due to incomplete information.
  • Generates improvement ideas
  • Inform customers and colleagues on project and shipment status.
  • Takes part of the “Open-Up” meeting with regards to the Project Transport.
  • Aligns Shipment planning and “pick/pack” with internal stakeholders
  • In contact with transportation companies, chamber of commerce, embassies, customs, import agents, banks and suppliers for the documentation and information.

  • Certificate of Customs Declaration
  • Knowledge of Letter of Credits and financial execution of export transactions.
  • Minimum of 5 years relevant working experience with Customs procedures.
  • Possess the skill of the Dutch and English language in talking and writing.
  • Knowledge of the Microsoft Office Suite and preferably ERP (JD Edwards)
