About this vacancy

We are looking for an enthusiastic, self-motivated, competent and responsible Office Executive Assistant to perform a variety of administrative and supporting office tasks. You are well versed in performance and operations management and competent in assuming delegated duties.

Job description

Duties of the Office/Executive Assistant include providing support to the members, the Executive Management team by assisting in managing the general office administrative activities. You will be supporting the planning and monitoring progress of the project. You will also be working to enhance the productivity of members, the Executive Management team and other stakeholders and ensuring compliance with rules and regulations.

Your responsibilities

  • Answer and direct phone calls
  • Organize, coordinate and schedule appointments
  • Book conference calls, rooms, hotels, travel arrangements etc.
  • Plan, take and distribute meeting minutes and action items
  • Write and distribute email, correspondence memos, letters, and forms
  • Create and (assist in the preparation) presentations and reports
  • Create the regularly scheduled newsletters
  • Update and maintain office policies and procedures
  • Update website and any other media channels
  • Maintain contact lists
  • Provide general support to members, customers etc.
  • Act as the point of contact for internal and external customers
  • Assist with arranging events, meetings and represent the company when needed
  • Assist with research and special projects
  • Work with the EMT to coordinate and supervise daily operations
  • Monitor achievements of objectives
  • Create PowerPoint presentations and submit them to the EMT or customers
  • Fulfil duties as assigned by the Executive Management team

The company is a non-for-profit European association, based in Belgium and the Netherlands (Limburg).

Agreements

  • A challenging and dynamic job for a period of 6-8 months (from May/June to February 2019)

  • You will be working independently and will be in contact with your network via phone, laptop or face-to-face meetings; however you are prepared to travel to Brussels, Paris, or Hamburg independently

Candidate profile

You:

  • Are a professional with at least 2 years’ Office Executive Assistant’ experience
  • Can work highly independent and is self-motivated
  • Have hands-on mentality and can work under pressure
  • Have no problems in speaking to audiences
  • Have the capability to work with an international professional team
  • Master the English language well spoken and written; other languages French, German is preferable
  • Have interest in sustainability
  • Possess strong working knowledge of MS Word, Excel, Power point as well as good internet and e-mail skills
  • Have excellent time management skills and the ability to prioritize work
  • Have strong organizational skills with the ability to multi-task
  • Have attention to detail and strong problem solving skills
  • Are able to successfully communicate with all levels of management
  • Are discrete with sensitive information
  • Are willing and able to work additional or flexible hours when needed
